Job Description
Main Areas of Responsibility
  • Promptly answers and directs all incoming calls with proper telephone etiquette.
  • Transfers calls to voice mail when appropriate personnel are unavailable; takes messages (when necessary) to include name, date, time, phone number and pertinent information
  • Answers general questions about the Company and provides callers with address, directions and other information.
  • Greets visitors, determines nature of business and notifies employees that visitors have arrived; ensures visitors sign the Visitor’s Register Book.
Additional Areas of Responsibility
  • Trains new Administrative Assistants on operating the telephone system.
  • Receives and signs for deliveries.
  • Update Applicant Flow data as needed.
  • Assemble various packets of information (i.e. new hire packets, marketing materials, bid books, etc.).
  • Assists other departments as needed with paperwork, documentation preparation, proofreading, scanning, lamination, etc.
  • Communicates and reinforces the Company vision, values and goals.
Other Information/Requirements
  • Flexibility to provide coverage as needed when the other receptionist takes time off
  • Strong customer service orientation
  • High school degree or equivalent
  • Basic typing and computer skills
  • Ability to establish effective relationships with office personnel
  • Ability to engage visitors in conversation
