Receptionist / Administrative Assistant
Job Description
Main Areas of Responsibility
- Answer multi-line telephone system, direct and screen calls
- Distribute messages to appropriate parties
- Greet visitors in a professional manor and interact with our guests
- Ability to build positive relationships with our staff and management with a high level of interpersonal skills
- Open and close front office/receptionist area
- Maintain appointment diary, either electronically and/or manually
- Prepare documents and/or letters
- Receive mail and packages
- Sort and distribute mail into individual staff mailboxes
Additional Areas of Responsibility
- Schedule conference rooms for meetings
- Maintain records and logs
- General clerical and administrative support to all levels of professionals
- Maintain common areas with required office supplies, coffee, etc.
- Maintain cleanliness and orderliness of conference rooms
- Ensure kitchen is tidy and clean
- Help with outings such as holiday parties, summer picnics, and other company outings
- Other duties as assigned
Other Information/Requirements
- HS Diploma required; Associates Degree preferred
- A minimum of 3-5 years of prior Receptionist or Administrative Assistant experience
- Proficient in Microsoft Word, Excel, Outlook and PowerPoint
- Detail oriented
- High level of interpersonal skills to handle sensitive and confidential situations
- Must be able to create professional documents
- Must present a professional image
- Excellent communication skills
