Receptionist / Administrative Assistant

Job Description
Main Areas of Responsibility
  • Answer multi-line telephone system, direct and screen calls
  • Distribute messages to appropriate parties
  • Greet visitors in a professional manor and interact with our guests
  • Ability to build positive relationships with our staff and management with a high level of interpersonal skills
  • Open and close front office/receptionist area
  • Maintain appointment diary, either electronically and/or manually
  • Prepare documents and/or letters
  • Receive mail and packages
  • Sort and distribute mail into individual staff mailboxes
Additional Areas of Responsibility
  • Schedule conference rooms for meetings
  • Maintain records and logs
  • General clerical and administrative support to all levels of professionals 
  • Maintain common areas with required office supplies, coffee, etc.
  • Maintain cleanliness and orderliness of conference rooms
  • Ensure kitchen is tidy and clean
  • Help with outings such as holiday parties, summer picnics, and other company outings
  • Other duties as assigned
Other Information/Requirements
  • HS Diploma required; Associates Degree preferred
  • A minimum of 3-5 years of prior Receptionist or Administrative Assistant experience
  • Proficient in Microsoft Word, Excel, Outlook and PowerPoint
  • Detail oriented
  • High level of interpersonal skills to handle sensitive and confidential situations
  • Must be able to create professional documents
  • Must present a professional image
  • Excellent communication skills
