Receptionist/Administrative Assistant
Job Description
Main Areas of Responsibility
* Answering multi-line phone system, screening and directing calls appropriately
* Greeting and assisting visitors
* Performing administrative and office support functions for multiple staff members
* Logs/updates bid schedule, updates job list, tracks documents
* Ensures contracts are submitted for review and signature
* Assists with project information as required
* Creates new job files and maintains hard copy and server files
* Requests city registrations
* Requests certificates of insurance
* Requests Notice of Commencements and submits Notice of Furnishings
Additional Areas of Responsibility
* Provides general support and contributes to team effort
* Maintains supplies and submits order internally for replenishment
* Assist with company events and holiday parties
* Responsible for record storage and tracking system of closed files
* Copying, scanning, faxing
* Ensures kitchen is clean and orderly
* Maintains conference room
* Other duties as assigned
Other Information/Requirements
* High School Diploma
* Minimum of 3- 5 years experience in an office support role required
* Proficient in Microsoft Office Suite
* Strong organizational and interpersonal skills
* Excellent oral and written communication skills
* Attention to detail
* Ability to follow instructions and take direction with little to no supervision
* Ability to interact and work well with others
